The Administrative Assistant will provide operational support at our Downtown Honolulu office to help Family Hui Hawaii strengthen families across the State of Hawaii.
The Administrative Assistant is responsible for providing coordination of communications, program office administration, managing inventory, assembling program activity supplies, as well as some offsite event or program support when needed.
*Duties and Responsibilities:*
* Communications
* Confident and professional communication through phone, email, and in person.
* Serve as a point of contact for internal and external inquiries.
* Coordinate communication between staff, volunteers, and stakeholders.
* Collaborate with other departments to ensure smooth information flow.
* Manage daily office operations:
* Organizational skills including managing ordering, inventory, and organization of supplies.
* Oversee office and program activity supplies inventory and procurement.
* Ensure office equipment functionality and maintenance.
* Coordinate office layout and organization for efficiency.
* Administrative support:
* Assist in scheduling meetings, appointments, and events.
* Handle incoming and outgoing correspondence, emails, and calls.
* Prepare documents, reports, and presentations as needed.
* Human resources assistance:
* Support recruitment processes such as posting job ads and scheduling interviews.
* Maintain personnel records and databases.
* Assist in employee onboarding and orientation.
* Event coordination:
* Assist in planning and organizing fundraising events, meetings, and workshops.
* Coordinate logistics, including venue booking, catering, and materials preparation.
* Provide on-site support during events as necessary.
* Other duties as assigned.
*Education and Experience*
* Some experience related to family resources, human services, early childhood education, public policy, health, or related preferable.
Minimum high school diploma/GED.
* Personal and professional interest in parenting, nonprofits, and family support services.
* Experience in working independently and ability to complete administrative tasks.
*Essential Requirements*
* Must have a reliable personal vehicle.
* Applicants must be available to work primarily on-site at the Downtown Honolulu office during working hours as well as meet off-site for events or assist with programming needs.
