Come join Child & Family Service and help us serve thousands in our communities! SUMMARY OF DUTIES Oversees the Support Services Team which includes facilities management and administrative support for the organization.
Facilities management includes coordinating repairs and maintenance of all CFS properties and rentals.
Works with vendors, lessees, contractors and staff to ensure quality and completion of work orders and general maintenance are performed to create safe and operational work environments.
Administrative support includes front desk coverage, overall admin support for leadership teams, supply management, central files and records retention, and general operations of the corporate office.
Oversees security for CFS properties and manages vendor and staff access.
Responds to security and safety calls.
Manages project and maintenance budgets and accounting, procurement and contracts.
Manages to budget plan and forecasts variances.
Ensures compliance with government regulations, contracts and the organization's procedures.
Provides decision support to Director on financial, compliance and contractual matters.
Liaises with contractors and organization's leadership team.
Participates in the organization's safety and risk management programs.
Provides direct supervision of the Support Services staff team.
Coordinates with Property and Planning Manager on capital improvement plans and active projects, lease negotiations and property maintenance for both Child & Family Service and CFS Real Property, Inc.
Flexibility required as work requirements and duties may change.
EDUCATION AND TRAINING REQUIREMENTS High school plus additional training equal to 2 years of college, which requires knowledge of a specialized field or may lead to licensing (data processing, accounting, human services), or formalized apprenticeship program.
For example, certified substance abuse counselor, bookkeeper, etc.
EXPERIENCE Over four years, up to and including six years.
SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 2-4 years of experience in facilities management.
4-6 years of experience in administrative support.
2-4 years of experience in managing teams.
Work outside of the office environment may be required.
Must be able to work in crisis situations and assist with managing response teams.
Position serves as member of the organization's emergency response team which may demand 24-hour response.
MS Office skills are required.
OTHER POSITION REQUIREMENTS This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an as-needed basis throughout the island.
The nature of this position requires the incumbent to be on-call 24 hours a day, 7 days a week.
This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
Continued employment in this position is contingent on successful completion of CPR, CPI and/or van driving training as such training is necessary to ensure ability/continued ability to perform essential functions of this job.
Continued employment in this position is contingent on successful completion of First Aid classes.
Requires contacts both inside and outside at all organizational levels.
Requires considerable tact, discretion and persuasion to obtain results.
May present new methods, programs, and controversial issues.
Improper handling may affect operating results and the delivery of client services.
